Project Manager Administrator

Crofton is seeking a Project Manager Administrator (PMA) to join our team.
The PMA plays a crucial role in supporting project managers and project teams by handling various administrative tasks. The ideal PMA will be highly organized and meticulous with the ability to excel in a fast-paced work environment.
Duties/ Responsibilities:
- Maintain project documentation, including project plans, schedules, and status reports.
- Ensure all project documentation is organized, up to date, and easily accessible for the team.
- Facilitate communication between project team members, stakeholders, and clients.
- Distribute project-related information, updates, and announcements to the relevant parties.
- Help schedule/coordinate meetings, including sending out invitations and preparing agendas.
- Enter project-related data into project management software or databases.
- Maintain and update project tracking systems to monitor progress and performance indicators.
- Assist in monitoring project budgets and expenses.
- Process invoices and expense reports and ensure they are submitted and approved in a timely manner.
- Help in coordinating resources, such as personnel, equipment, and materials, to support project needs.
- Assist with scheduling and resource allocation to ensure that projects are adequately staffed and resourced.
- Assist in identifying and tracking project risks and issues.
- Support the development of risk mitigation plans and monitor their progress.
- Generate regular reports on project status, budget, and other relevant metrics.
- Prepare presentations and reports for project stakeholders and management.
- Ensure that project deliverables meet quality standards and are in compliance with project requirements.
- Assist in the development and implementation of quality control processes.
- Maintain a repository of best practices and lessons learned from previous projects.
- Use this knowledge to improve project management processes and outcomes.
- Provide general administrative support to project managers, such as scheduling, travel arrangements, and document formatting.
- Help with the coordination of project team meetings, workshops, and training sessions.
- Identify opportunities to improve project management processes and suggest enhancements to increase efficiency and effectiveness.
- Performs other related duties as assigned.

Education and Experience:
- Minimum of 3 years of experience in this or related position.
- Experience using Bluebeam, HCSS, Procore, or Sage is desired.
Physical Requirements:
- Must be able to lift up to 15 pounds at a time.
- Exposure to characteristic Construction and marine site dangers
- Moving about to accomplish tasks or moving from one worksite to another.
- Repeating motions that may include the wrists, hands and/or fingers.
- Prolonged periods of sitting and work on a computer
- Able to traverse all areas of the jobsite; this may require walking, climbing, reaching, bending, crawling, or stretching.
